At K-Gudi Wilderness Camp, we understand that plans can change. This Refund Policy outlines the terms and conditions for cancellations and refunds. We recommend reading this policy carefully before making a booking.

1. Cancellation Policy

All cancellation requests must be submitted in writing via email to booking@kgudi.com or by calling our reservation team at +91-1234567890.

2. Refund Processing

• Refunds will be processed to the original payment method used for booking.
• Processing time: 7-10 business days from the date of cancellation approval.
• Bank processing may take an additional 3-5 business days.
• You will receive an email confirmation once the refund is initiated.
• Transaction fees charged by payment gateways are non-refundable.

3. Modification of Bookings

If you wish to modify your booking dates or accommodation type:

• Modifications are subject to availability.
• Must be requested at least 15 days before the original check-in date.
• One complimentary date change allowed if requested at least 30 days in advance.
• If you request additional changes or changes within 30 days of your check-in date, a modification fee of INR 1,000 may apply.
• Price differences (if any) will be adjusted accordingly.

4. Early Check-out

If you check out earlier than your scheduled departure date:

• No refund will be provided for unused nights.
• Full payment for the booked duration is applicable.
• In case of emergency situations, a partial refund may be considered at management's discretion.

5. Cancellation by K-Gudi Wilderness Camp

In rare circumstances, we may need to cancel your booking due to:

• Force majeure events (natural disasters, pandemics, government orders)
• Unforeseen operational issues
• Safety concerns
• Facility maintenance or closure

In Such Cases:

• 100% full refund will be provided.
• Alternative dates will be offered with no change fees.
• Refund will be processed within 5 business days.
• We will notify you as soon as possible via email and phone.

Please Note: K-Gudi Wilderness Camp is not liable for any additional costs incurred by guests, including but not limited to travel expenses, accommodation elsewhere, or consequential losses.

6. Weather-Related Cancellations

Weather conditions in wilderness areas can be unpredictable:

• Refunds for weather-related cancellations are provided only if we cancel your booking for safety reasons.
• Cancelled activities due to weather will be rescheduled or replaced with alternatives whenever possible.
• If activities are canceled due to weather, only activity charges will be refunded (excluding accommodation).

7. Wildlife Safari Permits

Regarding forest department permits and wildlife safari bookings:

• Safari permits are subject to the forest department's availability.
• If permits are not available, a full refund of safari charges will be provided.
• Accommodation charges are separate and are subject to the standard cancellation policy.
• Safari permit fees paid to the forest department are non-refundable once booked.

8. Group Bookings

For group bookings (8 or more guests):

• Special cancellation terms may apply.
• A customized refund policy will be specified in the booking agreement.
• Reducing the guest count may be allowed if requested at least 30 days before arrival.
• Contact our group booking coordinator for specific terms.

9. Special Offers and Promotional Bookings

Bookings made under special offers, packages, or promotional rates:

• May have different cancellation terms than standard rates.
• Some promotional bookings may be non-refundable.
• Specific terms will be clearly stated at the time of booking.
• Always review the terms associated with promotional offers.

10. Refund Request Process

To request a refund, please follow these steps:

1. Send a written cancellation request to booking@kgudi.com.
2. Include your booking confirmation number and guest name.
3. Specify the reason for cancellation (optional but helpful).
4. Provide bank account details for refund processing.
5. You will receive an acknowledgment within 24 hours.
6. Refund status update will be provided within 48 hours.

11. Dispute Resolution

If you have any concerns about refund processing:

• Contact our customer service team immediately.
• We strive to resolve all disputes amicably within 7 business days.
• Escalation to management is available for unresolved issues.
• All refund decisions are at the discretion of K-Gudi Wilderness Camp management.

12. Travel Insurance Recommendation

We strongly recommend purchasing comprehensive travel insurance that covers:

• Trip cancellation and interruption.
• Medical emergencies.
• Travel delays.
• Lost baggage.

Travel insurance can protect you from financial losses if unexpected events prevent you from completing your trip.
